Answer the review without making it worse.
Paste the review and the facts you actually know. This page drafts a plain reply from a fixed template, marks every blank it could not fill, and switches to a holding reply when the review raises a safety, hygiene or legal issue. Nothing leaves this browser.
Your draft
Read it as the customer, then change it to sound like you.

What to check before you send
Nothing you typed was sent anywhere. The download is a plain text file. If you print, only this draft and its checks are printed. When you have edited it, run the final wording through the checker before you post it.

Thank you for telling us, [CUSTOMER NAME]. I am sorry about [THE DETAIL]. [WHAT ACTUALLY HAPPENED - only what you know.] [WHAT YOU HAVE CHANGED OR WILL CHECK.] Please contact me at [CONTACT] and ask for [YOUR NAME]. I will deal with it myself. - [YOUR NAME], [BUSINESS NAME]
If the review describes an injury, illness, hygiene problem, safety concern or legal threat, do not use this template as a public reply. Reply as the owner first, check the records, and take advice before you publish anything detailed.
Eight checks before it goes out
- Every fact in the reply is true and comes from your records, not only from the review.
- No staff member is named, blamed or made identifiable.
- No refund, free meal, discount or compensation is promised unless you have already approved it.
- No admission of liability for a safety, injury, hygiene or legal issue.
- Any change you mention is real, already done, or scheduled with a date.
- The date, time and location match the booking, receipt or rota.
- It sounds like you, not a call centre.
- You are content for it to be screenshotted and shared.
